Client engagement data (contact details, project details, site information) to deliver consultancy services.
Financial records to meet tax and accounting obligations.
Business contact list to communicate with prospective and existing clients.
Species records gathered during surveys submitted to Local Environmental Records Centres and, where applicable, to Natural England, in line with the CIEEM Code of Professional Conduct.
Who we share data with
Service providers acting on our behalf under written contract.
Subcontractors engaged for specialist survey work, under written agreement.
Recording schemes and regulatory bodies (Local Environmental Records Centres, Natural England) for species records.
Insurers if a claim arises.
Legal or regulatory bodies where required by law.
We do not sell personal data or share it for marketing.
International transfers
Data held by Google and Squarespace may be processed in the US, covered by Standard Contractual Clauses with the UK Addendum and certification under the UK Extension to the EU–US Data Privacy Framework.
Retention
Client engagement records: 7 years from end of engagement
Financial records: 6 years (HMRC requirement)
Enquiries that don't lead to an engagement: up to 2 years
Business contact list: until you ask to be removed
Species records: retained indefinitely as part of the public-good biological record
Your rights
You can ask to see the personal data we hold about you, have it corrected or deleted, or restrict or object to how we use it. You can also ask for a copy to transfer elsewhere, and where we rely on your consent, you can withdraw it at any time.
